Quotes are made out based on your brief, if the agreed SOW (Scope of work) changes, so does the quotation.
'Pencil bookings' are made according to the industry best practices: When we check availability with a crew member and they currently have no other requests for the relevant date(s), we call this a '1st pencil'. If a crew member has a pre-existing 1st pencil and they receive another request for the same date(s), that new booking will be considered a '2nd pencil'. The first pencil will hold unless released or the 2nd pencil wishes to confirm, the 1st pencil will then be given the courtesy of 24hrs to confirm, or release said crew member after which they are free to confirm the 2nd pencil. Similarly this applies for '3rd pencil' and beyond.
Within a 40km radius from Dubai Studio City (DSC) or provided accommodation: Calltime is the agreed time at which the crew arrives on set or begins off-loading equipment. Calltime & Wrap outside 40km radius will be billed pro-rata x0.5 from time of departure/return from/to DSC or provided accommodation (Refer to "Travel Time" below). Wrap is when it's called on set by the responsible person, typically the 1st AD. Pack-up / de-rigging wrap is when truck doors close after tear-down & loading. Outside 40km radius wrap is calculated on arrival time at DSC or provided hotels.
A standard work day in the UAE is 12 hour day from calltime to wrap time, after which Overtime (OT) is calculated on a pro-rata basis x1.5 after 12 hours, invoiced in 30 minute increments. If a day should exceed 16hrs, double-rate will apply and supersedes OT. Split-days must have a minimum of 6hrs break in between shoot windows including travel time to DSC (or Hotel) and should not exceed 16hrs (incl 4hr break +travel), after 16hrs Double-rate will apply. Night shoots are billed at x1.5 of the standard rate as a base + OT pro-rata x1.5. Night is considered the hours between sunset and sunrise and night filming is considered to be between 21:00-05:00 as a general rule. Clients must inform the production &/or crew of the possibility of night shoots at the time of booking as this may affect other booking commitments. Turnaround is the downtime between shoot days from Wrap to the following Calltime. Minimum required turnaround time is 8 hours for safety reasons. Breach of Turnaround time incurs a charge of 1.5 x pro-rata for every hour under Turnaround. For projects exceeding 4 consecutive days of shoot, we strongly recommend to include a down day at the halfway point, in the case of longer term shoots, the 7th work day will be charged at pro-rata rate x1.5.
The above are charged at half-day rate for under 6 hours, otherwise full-day rates will apply. It is at the Client's discretion to request the aforementioned at the relevant location(s) and these dates should be communicated at the time of the booking.
The client is required to provide access to drinking water & snacks to every crew member throughout the duration of the shoot. If calltime is before 7am, a 30mins Breakfast break and breakfast is to be provided and time allocated is part of the working day. If the crew is working during standard meal times, an hour break is to be allocated for Lunch (a maximum of 6 hrs after breakfast) and a rolling afternoon break for a light snack of Coffee/Tea break within 6 hrs after lunch if the scheduled wrap time exceeds this time. A light dinner should be made available within 4hrs of any coffee/tea break. Pre-agreed expenses cap (UAE standard is AED 150 per person per day) or per diems to be provided as advances for the displaced days (international standard is AED 350-550 per crew member per day depending on the shooting location and respective price point for F&B. ie: higher for a 5* hotel than for a mall).
Transport is to be supplied or covered by any locally-hired crew for logistics to and from location(s) within Dubai (exclusions if pre-agreed with the client, examples include Director, DOP or 1st AD). If however the shoot is in remote areas or other Emirates, the client is responsible for arranging transport at their own cost. When travel distance exceeds 40km from DSC, travel time is calculated at 0.5 of pro-rata. Travel days are charged at half-day rate, unless travel exceeds 6 hours (including check-in, transfers, customs & immigration), after which full day rate will apply. Accommodation and per diems to be provided when production requires consecutive days on locations outside of DSC's 40km radius. Single rooms are to be provided for crew and HOD's, any additional rooming arrangements will be discussed and pre-agreed. Whilst the crew is placed in supplied accommodation, any down-days (days off in between shoot days during which the crew member is not required to work, and cannot take on other work due to displacement) will be billed at 50%, and if work does end up occurring on any of the down-days they will be billed as normal working days.
Cancellation before 48 hours from confirmed dates will not incur charges. Cancellation between 48 and 24 hours from confirmed dates incur 50% agreed fee. Cancellation within 24 hours of booked dates incur 100% agreed fee. Postponement is subject to availability and if the crew member/equipment is not available for the new proposed date, cancellation fees will apply accordingly.
Whilst on a set, all crew to be insured by the client against any accidents. The client is responsible for the safety and wellbeing of any hired crew during working hours for the duration of the project. Likewise, any filming permit, accreditation or authorisations to film at any locations is the responsibility of the client unless explicitly stated and part of the services provided by BusyBee.
Busy Bee LLC maintains appropriate insurance for its operations but is not liable for client equipment, third-party damages, or consequential losses unless explicitly covered in a separate agreement.
